Reporting directly to the CEO, the Executive Assistant provides executive support to the CEO and RSF executive team. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO. The Executive Assistant also serves as a liaison to the board of directors; organizes and coordinates outreach and external relations efforts; and oversees special projects.

The Executive Assistant must be detail-oriented, creative and enjoy working within a small entrepreneurial environment that is mission-driven and results oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.


Executive Assistant Duties (80%)

  • Enhance the CEO’s effectiveness by providing information; conducting research; preparing memos, letters, policies and procedures
  • Manage incoming and outgoing electronic communications on behalf of CEO as requested
  • Answer RSF’s general phone line and direct traffic to executives and others as needed. Sort and triage incoming snail mail to office location
  • Arrange travel schedule and make reservations for CEO and other Executive Team members or Board of Directors members as requested
  • Coordinate and set the CEO’s appointments – monitor and organize lists of follow-up and to-do items
  • Serve as the point of contact between the CEO and clients, employees, community members, and other stakeholders and collaborators
  • Independently assess issues and creatively troubleshoot malfunctions to increase organizational effectiveness
  • Create and manage a centralized Calendar system to optimize schedules of leadership within the organization
  • Create agendas and goals for meetings and projects led by the CEO and that may involve all departments across the organization
  • Plan and coordinate the agendas for all-staff meetings, and serve as a contact point for scheduling of executive leadership team meetings, as well as scheduling inter-organization groups and events
  • Use Word, Excel, and PowerPoint software. Type, transcribe, design and/or prepare reports, correspondence, memos, charts, tables, graphs, business plans and other documents
  • Take, transcribe, and file minutes for meetings as assigned
  • Update, monitor and issue reminders for delegated tasks
  • Compile and submit expense reports
  • Proofread and re-write various documents and reports
  • Other duties as assigned

Board of Director Liaison Duties (20%)

  • Oversee and compile aspects of RSF Board of Trustees and SIF Board of Directors Meetings, Board Committee Meetings and Strategic Planning Meetings, including contact and scheduling with Board Members, compilation of Board materials and oversight and filing of Board Documents.
  • Assist with the planning of Board meeting or retreat agendas and lead the logistics for the meeting dates
  • Liaise with Board committee members and meetings to ensure that deadlines are met and projects stay on schedule.
  • Other duties as assigned


  • At least two years proven work experience as an entry level Executive Assistant or similar role
  • Broad knowledge and skill with varying office procedures with an eye towards process improvement
  • Solid experience with office management systems, including the MS Office suite and various other technology tools
  • Ability to work autonomously efficiently and effectively
  • Excellent organizational skills with an ability to think proactively and prioritize work; flexibility to juggle multiple priorities at once
  • Familiarity with online calendars and cloud systems
  • Strong people skills; ability to work with diverse constituents
  • Excellent customer service skills
  • Ability to multi-task and maintain accurate records in varying systems
  • Excellent verbal and written communication skills
  • Experience exercising discretion and confidentiality with sensitive organization information
  • Ability to learn new concepts and systems quickly and efficiently
  • Must be able to work remotely during RSF’s Pacific Standard Time work hours
  • Must be available to occasionally work outside of regular office hours when needed
  • Required residence in the Bay Area, and ability to work at the office in downtown San Francisco at least 60% time.
